Knowing Who to Contact and Why


Dr. Wolf's Secretary - All messages for Dr. Wolf should be directed to the secretary who may be contacted for routine matters by calling 212-688-7100, prompt 2 during regular business hours. In the event of an emergency, prompt 1 should be pressed, connecting you to the secretary's emergency line. The secretary then relays your detailed message to Dr. Wolf. Test results generally take 7-10 business days. Inform the secretary if you would like to receive a copy of test results only after all tests are completed. Do not make this request until tests are complete and results are available. If you have multiple (or complex) questions for Dr. Wolf or the secretary, please use e-mail (secretary@djwolfmd.com) or fax (212-308-5242). Please include all pertinent information, particularly when contacting the secretary, so that the situation may be assessed quickly, completely and clearly.


Pat, the secretary, also handles prescriptions and refills. Requests should be made at least three days prior to drug depletion, to ensure that no doses are missed. If you have a prescription plan that requires specific forms for refills, please send via fax (212-308-5242). When requesting a prescription, please state the medication, the dose, frequency and the quantity you wish to obtain and the number of refills. Requests may be made by phone (212-688-7100, prompt 2), e-mail (secretary@djwolfmd.com) or fax (212-308-5242). Prescriptions and refill orders are routinely sent to your pharmacy or drug plan electronically.


The secretary should be contacted for scheduling appointments for both in-house and out-sourced testing. This is best done via phone (212-688-7100, prompt 2) rather than e-mail or fax. For holiday or weekend emergencies, call (212) 688-7100. The answering service will refer you to Dr. Wolf or a covering physician who is a board-certified hematologist/medical oncologist. Do not wait for Dr. Wolf to return. Contact the covering physician who will then contact Dr. Wolf, if necessary.


Billing Department/Medical Records

Alla submits your insurance claims. She should preferably be contacted for questions or problems by her e-mail billing@djwolfmd.com. You may also reach her by calling 212-688-7100, prompt 6 for her voice mail. Alla accesses her voice mail three times a day. Since all messages should be detailed as much as possible, e-mail or fax (212-308-5242) is preferred.

Sasha receives reimbursement payments for Dr. Wolf. She is also responsible for medical records requested by health insurance companies, disability insurance companies, law firms, and entities which claim HIPPA-Approved entitlement to your medical records. You are required to pre-pay Dr. Wolf for the requested records. Sasha should preferably be contacted via e-mail: reimbursements@djwolfmd.com. You may reach her by calling 212-688-7100, prompt 6. Sasha accesses her voice mail three times a day. Since all messages should be detailed as much as possible, e-mail or fax (212-308-5242) is preferred.

Jackie, the bookkeeper, is not in the office every day. Her schedule is irregular. She usually is in the office on Thursdays. Any messages left for her should be e-mailed to her at bookkeeping@djwolfmd.com or faxed to 212-308-5242 clearly marked "ATTENTION JACKIE (BOOKKEEPER)."


Nursing

Robin, the IV/Infusion Nurse, should be contacted only for issues related to intravenous treatments and related medications. If you cannot wait for Robin to receive her voice mail at 212-688-7100, prompt 4, please contact the secretary by calling 212-688-7100, prompt 2; or if an emergency, prompt 1. Whenever leaving a message, please be as detailed as possible, specifying your problem, symptoms and their duration. Robin will return your call as soon as possible. Be sure to notify Robin if you have what may be any adverse reaction to a treatment which she has administered. Robin accesses her voice mail three times each day.


Laboratory

Suzette, The medical assistant should be called at 212-688-7100, prompt 5 only for office specimens, Quest Lab specimens and specimen handling instructions, (i.e. stool cards/stool specimens). If you misplace your stool cards, you must call Suzette and request a new set mailed to your home. You can obtain 24-hour urine collection instructions by clicking on "24-Hour Urine Collection" or "Stool Collection for Culture and Parasites."

Chris, the laboratory supervisor can be contacted by calling 212-688-7100, prompt 7 or e-mail labsupervisor@djwolf.com. She should not be contacted regarding New York Hospital Laboratory testing or Commercial Laboratory testing (ie. Quest Lab). For questions related to NYPH laboratory tests or Quest Laboratory scheduling contact Pat the secretary 212-688-7100, prompt 2 and for specimen handling, Suzette 212-688-7100, prompt 5.
